Under the prior annual safety review, none of these three would be caught until 11 Jan 2027, a 260-day average lapse. The tracker's own snapshot catches them 132 days earlier.
Most free training trackers start with a blank validity-period column and expect the HR admin to already know the interval before typing it in. None of them connect a specific role or work state to the rule that actually sets that interval. A forklift evaluation recurs every three years, a supervisor's harassment-prevention training recurs every two, and a federal driver-supervisor session is a one-time requirement that never repeats. This pack starts from the rule instead of the blank column, and computes each employee's due date from it.
Bramwell Distribution, a fictional 185-person food distribution company, certifies 68 warehouse associates to operate a forklift. OSHA's powered industrial truck standard requires an evaluation of each operator's performance at least once every three years, computed from that operator's own last evaluation. As of a 1 September 2026 snapshot, three of the 68 are already overdue, one at each distribution center, lapsed for an average of 128 days. Under the prior annual review, none would have been caught until the following January, a 260-day average lapse, 132 days later than the tracker's own snapshot.
Devon Okafor, one of Bramwell's certified operators, also serves as a designated bloodborne-pathogens responder, and carries two independent clocks on one record: a forklift evaluation already lapsed, and an annual bloodborne pathogens refresher that is still current. Fifteen of Bramwell's California-based staff owe a sexual harassment prevention training that recurs once every two years, while four dispatch supervisors owe a federal driver-supervisor training that never recurs at all. The Evidence Standard doc checks each completion against what its own rule requires the record to contain, not a bare completion date.

One row per employee per requirement, with the evaluator or provider identity the Evidence Standard requires, not just a completion date. Assignments often start the same day a new hire's onboarding paperwork does.
Expiry Tracker
Each due date computed from that employee's own last completion plus that requirement's real interval, never a shared review date, and never forced onto a one-time requirement that does not have one.

Is this template free?

How is this different from a generic training matrix template?
Most matrix templates leave the validity period blank for you to fill in, and treat every requirement as recurring on a fixed schedule. This pack sources each requirement's real interval, including the ones that never recur, from the rule that governs it, then computes the due date from each employee's own last completion. A policy acknowledgment belongs on the employee handbook instead.
What counts as evidence that a training or certification actually happened?
More than a completion date. OSHA's forklift standard requires the operator's name, training date, evaluation date and evaluator identity on the certification. California's harassment-prevention regulation requires names, dates, the sign-in sheet, certificates and the training provider's name, kept for at least two years. The Evidence Standard doc checks each completion against its own specific rule, not one generic checkbox.
Why doesn't every requirement have an expiry date?
Because not every rule requires one. Federal rules for driver-supervisor reasonable-suspicion training state directly that recurrent training is not required, so once the one session is on file, that row is satisfied permanently. Forcing an expiry date onto it would flag a lapse the underlying rule says cannot occur.
How can one employee be both overdue and current at the same time?
By carrying two separate requirements on two separate clocks. In the worked example, Devon Okafor's forklift evaluation lapsed 110 days before the tracker's snapshot, while Devon's bloodborne pathogens training, on a one-year cycle, is not due for another two months. Both are correct at once because they answer different questions.
