Syllabus Check Sheet
Every date, against the document that owns it
One row per date the syllabus states. Both values in the same row, so a gap is a number.

Slots minus published breaks, times the scheduled length. Every template asks for credits and meeting times as two separate blanks and never multiplies them.
Every syllabus template is a list of headings with blank fields underneath, and a blank field cannot disagree with the registrar. That is why the errors that come back from a departmental review are almost never errors of writing. They are disagreements with a second document nobody had open: the faculty handbook that lists what a syllabus must contain, and the published calendar that owns every deadline in it. Both are checkable. Neither gets checked, because the checking is arithmetic rather than editing.
Calderby State University, HIST 201, Autumn 2026, three sections of one three credit course. Calderby's own credit hour policy asks for 2,250 scheduled minutes. Walk the term, keep the days on each section's meeting pattern, remove the published breaks: the Monday, Wednesday and Friday section holds 41 of 45 meetings for 2,050 minutes. The Tuesday and Thursday section holds 28 of 30 for 2,100. The Monday evening section holds 13 of 15 for 1,950, which is 13.3% short. All three award three credits.
The date check on the same draft found five of six stated dates wrong. Two deadlines were seven days late in a file carried forward from a later-starting term. A midterm was scheduled on the first day of autumn break, and the final examination sat in the last class meeting rather than its grid slot. Six of fourteen required elements are compliant. SACSCOC reviews an institution's credit hour policies and the application of those policies to its coursework, and the course design pack is where the outcomes and the graded work come from.
What's in the pack
Required Element Checklist
One row per institutional requirement, in the policy's own words, with its handbook section, whether the wording must be verbatim, and the heading where it actually appears.
Date Register
Every date the syllabus states, beside what the document that owns it says, with the gap in days and one of five verdicts including unresolved.
Contact Time Reconciliation
Slots on the meeting pattern, meetings lost to published breaks, contact minutes held, and the shortfall stated in minutes, per cent and whole meetings.
Syllabus
The document itself, ordered for a student looking for a deadline rather than for the policy, with a grading table that totals 100 and agrees with the prose beside it.
Schedule
Built from real dates rather than week numbers, with the recesses shown as their own rows and the final examination in its grid slot.
Policy Section Set
The requirement text and the statements that have to appear word for word, so drafting is pasting the right block rather than remembering the handbook.
How the Syllabus Is Checked
The three joins, why the two contact time floors measure different things, and how a term can clear one while every section in it fails the other.
How to use it
- 1
Open it in River, or download it
Open the pack in River and let the agent run the three checks against your own documents, or download the seven blank Word and CSV files with no account.
- 2
Send the handbook section and the calendar
The syllabus policy and the registrar's calendar for the term. These are the two documents the draft is normally written without, and they are where every finding comes from.
- 3
Add every section, not just yours
Pattern, start and end time, credits. The spread between sections of one course is the strongest single result, and it only exists once there is more than one row.
- 4
Fix the dates, then send the minutes on
Most findings are mechanical once the disagreement is visible. The contact time shortfall is not fixable inside the document, so it goes to the department with three numbers attached.
Frequently asked questions
Is this template free?
Yes. Download all seven files as Word documents and CSV sheets with no signup and no card. Edit with AI is the optional path, where the agent resolves your dates against your registrar's calendar and counts the contact minutes. The other packs sit in the template library.
What format are the downloaded files?
Word documents (.docx) for the syllabus, the schedule, the policy section set and the method explainer, and CSV (.csv) for the three sheets, zipped together. They open in Word, Pages, Google Docs, Excel, Numbers and Sheets. In River the same content opens as live Docs and Sheets.
Our university publishes its own syllabus template. Does this conflict?
No, and you should use theirs for structure. Those templates are lists of required headings, which is the useful half. What none of them does is resolve your dates against the calendar or count your contact minutes, so run the checks here and write the answers into their shape.
The term meets the federal requirement. Why does the minute count matter?
Because they measure different things. The federal academic year floor is 30 weeks of instructional time, and a week counts if it holds one day of instruction or examinations, so losing a meeting never removes a week. Your own credit hour policy is per course, in minutes, and that is the one a section fails.
Two sections of our course came out 150 minutes apart. Is that normal?
It is the usual result, and almost nobody knows because nobody counts. Scheduled breaks do not fall evenly across weekdays, so a Monday pattern and a Thursday pattern lose different numbers of meetings. This is a departmental decision rather than an instructor one, so send the reconciliation rather than fixing it.
Is a required element list really worth building?
It is what a review ticks off, and in some states it is law. Texas requires each institution to publish a syllabus giving a brief description of each major assignment and examination and the subject matter of each lecture, which a table of names and weights does not satisfy.
Where does the rest of the course work happen?
A syllabus is downstream of decisions taken earlier. The rubrics behind the marking come from the rubric pack, attainment against the stated outcomes feeds the outcome assessment pack, and a whole department's worth of that lands in a programme review. Whether the schedule fits in a student's week is a separate check, and the student workload calculator runs it.
