Guides on responding to negative reviews teach tone. Acknowledge the complaint, apologize, offer to help, in roughly that order. None of them touch the actual claim, which is a specific, checkable fact once the order behind it gets pulled. A review saying a lid will not seal names a variant and roughly a ship date, both already sitting in a system the merchant owns. Matching the review to that order before drafting anything is the difference between a generic apology and an answer that tells a future buyer exactly what happened.
Thistlewood Kitchen Co, an invented cookware brand, has fifty-eight reviews this quarter across Amazon, Shopify and Etsy, seventeen of them negative. Seven cite chipped enamel on the 9-inch skillet. Matching them to their orders shows six shipped inside a nineteen-day window in May, all from one receiving lot. That is a 7.14 percent complaint rate against the lot's 84 orders, nine times the product line's usual 0.79 percent. The seventh shipped in March, and its own text mentions a drop, a cause the batch conversation should not absorb.

Is this template free?

What format are the downloaded files?

Can I actually get a review taken down?
Only if it violates the platform's own policy, and that is a platform decision, not this pack's. What the FTC's review rule does allow is responding publicly and contacting the reviewer to fix the problem, which is what every drafted response here does instead.
What if a review gives no order number?
It gets logged as an unmatched row rather than guessed at, and Response Guidance says to ask rather than assume. The reply requests the order number or the email used at checkout, so the next response can be specific once that comes back.
Should every negative review get its own unique response?
No, and it should not. A first complaint about a defect gets a plain apology and a fix. The sixth one citing the same cause needs something else: a mention that the cause is already being addressed, which is what Theme Frequency and Product Issue Register are for.
