RiverLease Violation Notice to Tenant

Notice of Lease Violation

[Landlord or management company name]
[Mailing address]
[Phone] | [Email]

[Date of this notice]

Delivered by [delivery method, e.g. hand delivery, first-class mail, certified mail or posting] to:
[Tenant's full name, and every other tenant on the lease]
[Rental property address and unit]

Dear [Tenant's name],

This notice is to let you know that you are not meeting a term of your lease dated [Lease date] for the property above. We want to resolve this and continue your tenancy. Please read this notice and take the steps below by the date given.

The lease term

Section [__] of your lease says:

"[Quote the lease clause exactly as written]"

What happened

[State the facts only: dates, times, what was seen or reported, and by whom. Leave out opinions and labels.]

  • [Date]: [What happened] ([Evidence, e.g. photo, written complaint, inspection note])
  • [Date]: [What happened] ([Evidence])
  • Earlier notices: [Dates of any earlier notices about the same issue, or "None"]

What you need to do

To correct this, please [Specific action, e.g. remove the second vehicle from the fire lane] no later than [Cure deadline: date and time].

[Give at least the time your lease and your state's law require. Some states set the cure period and the exact wording of a formal notice to cure. If you mean this letter to serve as that notice, use your state's required form and period instead.]

If the violation is not corrected

If the violation is not corrected by [Cure deadline], we may take further steps allowed by your lease and [State] law, which may include [e.g. the charge in Section __ of the lease, or a formal notice under the state statute that applies].

[List only steps your lease and state law allow.]

This notice does not end your tenancy and does not ask you to move out.

Questions, or if you disagree

If you believe this notice is wrong, or you need more time, please contact me by [Date] at [Phone or email]. If you need a change to a rule or policy because of a disability, you may ask for one, and I will consider it.

[If the issue involves an animal, a live-in aide or anything else that may relate to a disability, handle it as a possible accommodation request before treating it as a violation. If the tenant recently complained about repairs or contacted a housing agency, check your state's anti-retaliation rules before sending.]

Sincerely,

[Signature]
[Your name]
[Owner / Property manager], [Company]

A lease violation notice has one job: get the tenant to fix a specific problem by a specific date, in writing, so there is a record if it happens again. Many free templates read like an eviction notice, which puts a good tenant on the defensive. States also set their own periods and wording for a formal notice to cure. In California it is three days, not counting weekends and court holidays. Florida uses seven days and a set statutory form.

This pack holds one document and one sheet. The notice quotes the lease clause word for word, lists what happened by date with the evidence for each item, and names the one action needed and its deadline. Then it states what may follow under the lease and state law, says plainly that the notice does not end the tenancy, and explains how to disagree. A delivery record closes it. The Violation and Notice Log keeps each incident, notice, proof of delivery and cure date together.

The log matters more than it looks. Florida lets a landlord end a tenancy without a second chance when the same conduct repeats within 12 months, and dates decide that. Open the template in River and the agent reads your lease and evidence, checks your state's notice rules, and fills both files. Or download them blank. The landlord letter generator starts it from a short description. At move-out, the deposit itemization letter takes over, and the dispute response answers any pushback.

What's in the template

01

Lease Violation Notice to Tenant

The notice itself: delivery line, the lease term, what happened, what to do by when, what may follow, how to disagree, and a record of delivery.

02

Violation and Notice Log

One row per incident with the evidence, who reported it, the notice date, delivery method and proof, the cure deadline, and whether it was fixed.

03

The clause, quoted

The notice quotes the lease term word for word, so the tenant argues with the lease they signed rather than your summary of it.

04

Facts by date

Each incident gets a date, what was seen or reported, and the evidence. Opinions and labels stay out, because they are what a tenant disputes first.

05

One action, one deadline

A single specific fix and a date and time to finish it, with a bracketed reminder to give at least what the lease and state law require.

06

An accommodation check

A prompt to treat an animal or live-in aide issue as a possible disability accommodation first. Federal law treats refusing a reasonable accommodation as discrimination.

How to use it

  1. 1

Open in River, or download it

Open the template in River and have the agent fill it from your lease and evidence, or download the blank Word notice and CSV log now.

  2. 2

    Log the incident first

Add a row to the Violation and Notice Log with the date, the facts, the lease clause and the evidence, before you write a word to the tenant.

  3. 3

    Check your state's notice rules

Look up any required cure period, wording and delivery method. If you want this letter to count as the formal notice to cure, use your state's form.

  4. 4

    Deliver it and keep proof

Send it by the method your lease and state allow, fill in the record of delivery, and put the cure deadline in the log to follow up.

Frequently asked questions

Is this an eviction notice?

No. It asks the tenant to correct a problem and says plainly that it does not end the tenancy. A formal notice to cure or quit is a separate step, and many states set its period and wording by statute. If you are at that point, check your state's rule or talk to a local attorney first.

How long should I give the tenant to fix it?

At least what your lease and your state's law require, and longer is often wise for a first notice. The formal periods vary: California's is three days excluding weekends and judicial holidays, and Florida's is seven days. Pick a date the fix can realistically be done by, and put it in the log.

What if the violation is an animal the tenant says is a support animal?

Stop and treat it as a possible accommodation request before sending a violation notice. The Fair Housing Act makes refusing a reasonable accommodation for a disability discrimination. HUD withdrew its 2020 assistance animal guidance in September 2025, but the statute still applies. Ask for the request in writing and get advice if unsure.

How should I deliver the notice?

Use the method your lease names and your state accepts, such as hand delivery, mail, or posting plus mailing. Keep proof: a mailing receipt, a photo of the posted notice, or a signed receipt. Record it in the log, because the date of delivery usually starts the tenant's time to fix the problem.

What format are the downloaded files?

The notice downloads as a Word document (.docx) and the log as a CSV file (.csv), with no account needed. They open in Word, Google Docs, Excel or Google Sheets. In River, the notice and log open as a live Doc and Sheet you can keep adding incidents to.

Can River decide whether I can end the lease?

No. River is a drafting aid, not a lawyer. It can look up your state's notice rule, cite it and flag what it could not verify, but whether a tenancy can end, and how, is a legal decision. Take that question to a local landlord-tenant attorney.
