Sixteen lines for the month; the six shown with no match are exactly what carries onto the next tab.
Missing Receipt List
| Vendor | Amount | Above $75? | Risk |
|---|---|---|---|
| Grainger | $532.80 | Yes | High, needs a receipt |
| Home Depot | $276.53 | Yes | High, needs a receipt |
| Chili's | $86.42 | Yes | High, plus who attended |
| Lowe's | $124.99 | Yes | High, needs a receipt |
| Shell | $68.40 | No | Low, a logged note closes it |
| Ace Hardware | $58.76 | No | Low, a logged note closes it |
Four of the six gaps sit above the $75 documentary-evidence line and need an actual record, not just a note.
Category Summary
| Category | Total | Missing | Missing Share |
|---|---|---|---|
| Materials | $743.70 | $401.52 | 54.0% |
| Meals | $86.42 | $86.42 | 100.0% |
| Tools | $58.76 | $58.76 | 100.0% |
| Parts | $3,074.77 | $532.80 | 17.3% |
| Month total | $4,777.35 | $1,147.90 | 24.0% |
Materials is missing 54 percent of its dollar total, the highest share of any category with real transaction volume.
A free expense and receipt template usually offers a category list and a blank place to paste totals. It assumes the receipts already exist somewhere in a drawer, a shoebox or an inbox and the job is filing them. That skips the actual failure: a card or bank line with nothing behind it, discovered months later with no way to tell which of sixteen purchases it was or why.
Corrigan HVAC Services, invented for this pack, ran sixteen card transactions in February totaling $4,777.35. Six had no receipt matched to them, $1,147.90, or 24.0 percent of the month. Splitting that gap by Publication 463's own rule that documentary evidence isn't required under $75 turns six identical-looking gaps into two different problems. Four above that line, including a $532.80 parts run, genuinely need a record, and two below it close with a one-line note.
The Category Summary then rolls the same gap up by category rather than leaving it as sixteen unrelated lines. Materials is missing 54.0 percent of its dollar total for the month, the highest share of any category with real volume, which points at a habit with one or two suppliers rather than general carelessness. Pair this with the owner financial dashboard for how a missing category like this distorts the fixed cost base, and the bookkeeping catch-up pack if the gap runs back further than one month.
What's in the pack
Documentation Standard
What actually counts as an adequate record, including the $75 line below which a receipt isn't required and a logged note is enough.
Deduction Guidance
What to do with each row on the missing list: reconstruct it, log it, or request a duplicate, ranked by whether it clears the $75 threshold.
Expense Register sheet
Every card and bank line for the period with its category and substantiation status, the sheet the other two sheets are built from.
Missing Receipt List sheet
Only the gaps, ranked by whether each one clears the documentary-evidence threshold, so real risk is not buried among logged notes.
Category Summary sheet
The same gap rolled up by category and share, which is what turns six missing receipts into one visible pattern worth fixing.
How it works
- 1
Open in River, or download it
Take the blank Word and CSV files with no account, or install the pack in River and hand it a statement to build the register from.
- 2
Log every line, receipt or not
Every card and bank transaction gets a row, whether or not a receipt exists for it yet, so the register reflects the whole period.
- 3
Mark real documentary evidence only
A bank line proves the payment happened, not what was bought. Only a receipt, invoice or bill counts toward substantiation status.
- 4
Work the missing list by threshold, not by amount alone
A gap above the $75 line gets a reconstruction attempt or a duplicate request. A gap below it gets a one-line logged note and is done.
Frequently asked questions
Is this template free?
Yes. Two documents and three sheets download as Word and CSV files with no signup and no credit card. Edit with AI is the optional path where the agent matches your own statement against your receipts. The rest of the library is at the template index.
What format are the downloaded files?
Word documents (.docx) for the Documentation Standard and Deduction Guidance, and CSV (.csv) for the Expense Register, Missing Receipt List and Category Summary. They open natively in Word, Pages, Google Docs, Excel, Numbers and Sheets.
Do I really not need a receipt for anything under $75?
Documentary evidence specifically isn't required under that line, other than for lodging, but a written note with the amount, date, place and purpose still is. The threshold changes what closes the gap, not whether the gap needs closing at all.
What if I genuinely cannot find or reconstruct a missing receipt?
Log what you can honestly reconstruct from a calendar, a job file or a text thread, and mark it as reconstructed rather than as an original record. A weaker record beats no record, but it is not the same thing and should not be presented as one.
Why does a client lunch need more than a receipt?
A meal's business purpose depends on who was there and what was discussed, not just the amount and the restaurant. Without that, a card line reading "Chili's, $86.42" proves a meal happened and nothing about why it was a business expense.
Can this replace my bookkeeper?
No. It produces the register and the missing list from your own statement and receipts; categorizing for the books and filing the actual return are separate jobs. If your books are behind more broadly, the bookkeeping catch-up pack covers that.
