Program Impact Report Against Your Targets

Share one program's goals and results. Get an honest impact report comparing outcomes with targets, explaining any shortfalls, and naming what changes next.

Context to provide

River's program impact report writer drafts the report that tells a funder or board how one program performed. Share the goals the program set and what actually happened, with any data, survey results or notes you have. River lines up each target against the result, writes the outcomes for participants first and the activity numbers behind them, explains every shortfall in plain terms, and says what the program will change. Nothing is rounded up, and every missing figure is marked.

Most program reports read like brochures: big activity counts, a glowing story, and no mention of the target that was missed. Experienced program officers read past that, and many funders ask directly what did not go as planned. This draft treats shortfalls as information. It separates what the program controlled from what it did not, such as a bus route cut. To design better measures for next year, the program data collection template maps each funder's indicators to one set of fields.

This is for program managers, development staff and executive directors writing interim and final reports to funders, or quarterly updates to a board. Use it when the reporting period closes and the data is in. If your funder sends its own report form, attach it and the draft follows its questions. The organisation-wide story belongs in an annual impact report, and a quick summary for meetings comes from the program one-pager writer.

What makes a program impact report credible

A credible report compares what you promised with what happened. Federal rules make this explicit: performance reports on federal awards should compare actual accomplishments with the award's objectives and explain why goals were not met. Most foundations ask the same questions in plainer words. Start with the original targets from the proposal or logic model, then report each result beside its target, as a number and a percentage of the target, before any narrative.

Keep outputs and outcomes apart. Outputs count what the program did: workshops held, people enrolled, hours delivered. Outcomes describe what changed for participants: skills gained, jobs found, housing kept. Funders want both, but outcomes are the point. Say how each outcome was measured and when, and how many participants the measure covers, because 31 people employed out of 58 completers reads differently from 31 out of 92 enrolled. Report both for the same period, and note any change in how a measure was collected.

Explain shortfalls without excuses or blame. Name the cause, say whether it was inside or outside the program's control, and describe what changes as a result. A funder who sees a missed target, a clear reason and a sensible fix usually trusts the organisation more, not less. Stories belong in the report too, but as illustration of a pattern in the data, used with the participant's consent, rather than as a substitute for the numbers.

How it works

  1. Share goals and results

Paste targets and actual figures, or attach your data, proposal, logic model or last report.

  2. Name the reader

Optionally say who the report is for, and attach the funder's report form if they use one.

  3. River writes the report

Targets and results are compared, outcomes written first, and every shortfall explained in plain terms.

  4. Refine in chat

Shorten it for a board, answer a funder question, or draft next year's revised targets.

What you get

  • A results table showing each target beside the actual figure, with percentage of target reached
  • Outcomes for participants written first, with the activity numbers and measurement method behind each
  • A plain explanation of each shortfall, separating causes inside and outside the program
  • Lessons learned and specific changes for the next period, drawn from what you report
  • Sections ordered to the funder's report questions when you attach their form or proposal
  • Marked gaps wherever a target, result or measurement detail is missing from your material

Common questions

What is the difference between outputs and outcomes?

Outputs count the program's activity, such as sessions delivered or people enrolled. Outcomes are the changes for participants, such as jobs found or reading levels gained. A good report gives both, with outcomes first. If you only have outputs, River reports them honestly as activity and suggests which outcome to start measuring next period.

Should we report targets we missed?

Yes. Funders compare your report with your proposal, so a missing target is noticed anyway. Reporting it with the cause and your response shows good management. River writes each shortfall in plain terms, separates what you controlled from what you did not, and pairs it with the change you are making.

Can it follow our funder's report form?

Yes. Attach the form or paste its questions, and River answers them in order using the funder's headings and any word limits. If the funder has no form, the draft uses a standard structure: summary, results against targets, participant outcomes, challenges, lessons, changes ahead and budget notes.

Does it handle the financial part of the report?

It writes a short budget note from figures you give, such as spending against the grant budget. It does not prepare formal financial reports. Federal financial reporting has its own forms, and the SF-425 template builds those figures. Keep the narrative and financial reports consistent on dates and amounts.

What if our data is incomplete?

Report what you have, say what is missing and why, and explain how you will fix it. River marks each missing figure as a gap and never fills it with an estimate presented as fact. For next period, a program evaluation plan helps decide what to measure and how.
