Open Enrollment Communication Template

Four documents and two sheets that send reminders only to whoever has not enrolled yet, and build the FAQ from what employees asked last cycle.

Free download  ·  No account needed

Most open enrollment kits solve half the problem. They ship a reminder schedule and an FAQ. The reminder schedule resends the same message to everyone on the same day, regardless of who already finished, and the FAQ is written before anyone has asked anything. Both habits are avoidable. Your HRIS already knows who has and has not completed enrollment at any point in the window. Last cycle's actual questions are sitting in whatever inbox or ticket system fielded them, ranked by frequency the moment someone counts them.

At Marloe Logistics, 300 employees are eligible this year. A blanket reminder to everyone at three checkpoints is 900 messages. Targeting only whoever has not completed yet drops that to 138: 90 people at the midpoint, 30 a week before close, 18 in the final 48 hours. That is 762 messages never sent, 84.7 percent fewer, to people who had already acted and did not need reminding. Completion still reaches 100 percent by the deadline either way.

The pack opens with the Enrollment Guide and a Plan Comparison in plain language, then sets the Reminder Sequence template before building the FAQ. The Completion Tracker records status at each checkpoint, and the Question Log holds every question this cycle raises, seeding next year's build. SHRM has reported that 41 percent of employees find their open enrollment process extremely confusing (SHRM), which is what a frequency-ranked FAQ built from real questions is for. Once the window closes, reconcile enrollment against the carrier invoice to confirm what was billed matches what people actually chose.

138 targeted sends instead of 900. One obsolete question caught before it republished

The Completion Tracker's staged reminders, and the Question Log's top 12 questions by frequency.

Completion Tracker

Illustrative example. Marloe Logistics, fictional warehouse software company, 300 eligible employees.

CheckpointDayCompletedReminder sent to
Window Open00300 (announcement)
Midpoint Check721090 non-completers
One Week Before Close1427030 non-completers
Final 48 Hours2028218 non-completers
Deadline223000

Targeted sends: 138. A blanket resend to all 300 at each of the 3 checkpoints would be 900, so 762 messages, 84.7%, were never sent.

Question Log, ranked by frequency

Last cycle's questions. 100 logged in total; the top 12 account for 82%.

1 of the top 12 questions is now obsolete because the plan it asks about was discontinued, and is replaced with a discontinuation notice instead of republished as written.

What is in the pack

01

Enrollment Guide

States what changed this year and the real consequence of doing nothing, before any plan comparison starts.

02

Plan Comparison in Plain Language

A side-by-side table of this year's options with the jargon defined inline, not left for a separate glossary.

03

Reminder Sequence

The schedule and message for each checkpoint, timed off the window's real close date rather than a generic countdown.

04

FAQ

Built from the Question Log, most-asked question first, with anything obsolete this year replaced instead of republished.

05

Completion Tracker

Status at every checkpoint, and exactly who each stage's reminder is about to reach before it actually sends.

06

Question Log

Every question this cycle raises, ranked by frequency as it comes in, seeding a sharper FAQ for next cycle.

How it works

  1. 1

    Send your window and changes

This year's plan changes, the enrollment window's key dates, and last cycle's question log if you kept one.

  2. 2

    Get the guide and FAQ

The Enrollment Guide and Plan Comparison first, then the FAQ built and ranked from what people actually asked last cycle.

  3. 3

    Run the reminder sequence

Each checkpoint's reminder goes only to whoever the Completion Tracker shows has not finished, not to everyone again.

  4. 4

Close out and log next year's questions

The tracker closes at 100 percent completion, and the Question Log carries this cycle's questions into next year's FAQ.

Frequently asked questions

Is this template free?

Yes. The whole pack, the guide, plan comparison, FAQ and reminder sequence, plus both sheets, downloads as real files with no signup. Edit with AI is a separate, optional path that creates a free account and installs the same pack as a private workspace.

How is this different from a generic open enrollment email series?

Most templates ship the same three emails every year, kickoff, midpoint reminder, final countdown, sent to everyone regardless of status. This pack targets each reminder at whoever the tracker shows has not completed, and builds the FAQ from what people actually asked last cycle.

What if we do not have a question log from last year?

Start the Question Log this cycle. The FAQ ships with a starter set covering the questions almost every plan generates, and by next open enrollment you have a real, frequency-ranked log of what your own employees actually asked.

Does this replace the decision about which plan to offer?

No. That decision happens earlier, in a benefits renewal analysis. This pack starts once a plan is already chosen, communicating the choice, tracking who has completed enrollment, and answering the questions people ask about it along the way.

What about employees who join outside this window?

They enroll on a new-hire timeline instead of waiting for the next annual window, which the onboarding pack's access and paperwork checklist already tracks separately, on whatever schedule your new-hire process actually runs, not this cycle's.

What format are the downloaded files?

Word documents for the Enrollment Guide, Plan Comparison, Reminder Sequence and FAQ, and CSV spreadsheets for the Completion Tracker and Question Log. All open natively in Word, Google Docs, Excel or Sheets, so nobody has to convert a file before reading it.

Stop reminding people who already finished

Send this year's plan changes and window dates. The Reminder Sequence runs against your real completion status, and the FAQ comes back built from what people actually ask, not a generic list.
