Benefits Renewal Analysis Template
Three documents and three sheets that price every renewal option to the company and to a representative employee at each coverage tier.

Broker renewal decks compare options the same way every year: total premium, total cost to the company, sometimes a five-year total-cost-of-ownership projection. All of that answers one question, what does this cost us. None of it answers the question employees actually feel, which is what does this cost me, by coverage tier, compared to what I pay today. A company total can go down while a specific tier absorbs the difference, and a deck built around the company number alone has no way to show that.
At Marloe Logistics, 90 people are enrolled in the current medical plan across four tiers. Renewing the same plan costs the company 9 percent more, but the employer keeps its contribution percentage unchanged at every tier, so not one enrolled employee sees a double-digit personal increase. A narrower-network option costs the company only 2 percent more, the cheaper option on every summary slide. Reaching that number required cutting the employer's contribution percentage on the three dependent tiers, and 50 of the 90 enrolled people, 55.6 percent, see a monthly increase over 10 percent.
The pack opens with Renewal Analysis, setting the rule that every option is priced twice, to the company and to a representative employee per tier. Plan Comparison holds both prices for every option, and Contribution Modelling shows exactly where an employer percentage moved. Enrollment Impact joins that change against real headcount, turning a percentage into a count of actual people. KFF's 2025 survey found family premiums rose 6 percent to $26,993, with employees covering $6,850 (KFF), and invoice reconciliation is what confirms the chosen plan is what actually got billed.
What is in the pack
Renewal Analysis
Sets the method: every option priced to the company and to a representative employee, never the company number alone.
Recommendation
A memo template that states the enrollment impact number in the same paragraph as the cost saving, not a separate section.
Employee Communication
Held until a plan is chosen, with a per-tier cost table so each employee finds their own new number directly.
Plan Comparison
Every quoted option's company annual cost and employee monthly cost side by side, tier by tier, never blended.
Contribution Modelling
Shows exactly where an employer contribution percentage moved between options, in points, not hidden in a premium.
Enrollment Impact
Joins each option's modelled employee cost change against real current headcount to get an actual affected-person count.
How it works
- 1
Send your quotes and enrollment
This year's renewal quotes, current plan premiums and contribution splits by tier, and current enrollment headcount by tier.
- 2
Get the Plan Comparison
Every option priced to the company total and to a representative employee at each coverage tier, side by side.
- 3
See where contribution moved
Contribution Modelling shows any employer percentage change by tier, so a cheaper company number is never a mystery.
- 4
Get the affected-person count
Enrollment Impact turns each option's tier-level cost change into a real headcount of people crossing your threshold.
Frequently asked questions
Is this template free?
Yes. The whole pack, the analysis method, recommendation memo and employee communication, and all three sheets, downloads as real files with no signup. Edit with AI is a separate, optional path that creates a free account and installs the same pack as a private workspace.
How is this different from a broker's renewal deck?
A broker deck compares options by company cost, sometimes with a multi-year total-cost-of-ownership view. It rarely prices an option to a representative employee at each tier, and it never joins that per-tier change against your real headcount to say how many people are actually affected.
Does a cheaper company total always mean a plan design change?
No. It is often a change to the employer's contribution percentage on specific tiers instead, which the Contribution Modelling sheet is built to surface. A flat or falling company total on a plan with a real premium increase is usually a sign the split moved.
What format are the downloaded files?
Word documents for the Renewal Analysis, Recommendation and Employee Communication, and CSV spreadsheets for Plan Comparison, Contribution Modelling and Enrollment Impact. All open natively in Word, Google Docs, Excel or Sheets, so no file conversion is needed before your finance partner opens the numbers.
Does this replace the broker's quotes?
No. It works from whatever quotes your broker provides, run on a similar timeline to a compensation review cycle. What it adds is the employee-side pricing and the enrollment impact count the quotes themselves do not include, so the comparison is complete before it reaches the same leadership that reviews salary bands each cycle.
What does Edit with AI actually do?
It creates a free account, installs this exact pack as a private workspace, and has the agent ready to build your comparison as soon as you send your quotes and enrollment data. Nothing is written until you send something.
What happens once we have chosen a plan?
Send the decision to your open enrollment communication, which runs the announcement, staged reminders and completion tracking once a choice is made. This pack ends at the recommendation and the employee-facing cost table, not at collecting each person's actual election.
Find out who your cheapest renewal option actually costs
Send this year's quotes and your current plan's premiums and contribution splits by tier. The Plan Comparison comes back priced to the company and to a representative employee, with Enrollment Impact showing exactly how many people cross a real increase.
