Daily Cash Position Report Template

Four documents and five sheets that open the day on the balance you can actually move, with a cutoff time on every payment still waiting.

A bank shows you two balances and a daily position needs a third. Ledger balance counts every deposit the bank has taken in, including the ones it has not collected. Available balance nets those out, on a schedule rather than a courtesy: Regulation CC gives a local cheque deposit two business days. Usable balance then nets out the accounts that cannot move today at all, and no bank reports that one, because only you know which balance is pledged.

This pack opens the position on the third figure and shows the other two beside it. On the illustrative company in the sheets, a commercial HVAC contractor on a Thursday morning, the three balances are 1,646,730.00 ledger, 1,181,530.00 available and 431,530.00 usable. Two accounts and a float account for the 1,215,200.00 gap. A money market reserve holds 750,000.00 on two days' notice, a collateral account holds 184,500.00 pledged behind a letter of credit, and 280,700.00 of deposits are still inside their availability window.

The second half is the clock. Every queued payment carries the rail it moves on and the hour that rail closes, because the FedACH processing schedule puts the last same-day window at 4:45 p.m. Eastern. That morning an 88,400.00 vendor run left the buffer 16,370.00 short. Held to Monday, when 50,940.00 of float clears and the discount date lands, it goes with 34,570.00 to spare. Batch B is the only queued item inside a cutoff today. Its 15:00 decide-by is the bank's ACH file deadline, and it is earlier than the 20 March due date by five days on purpose.

Friday's 288,160.00 inflow is 229,760.00 of Wednesday float becoming available plus 58,400.00 of new receipts, which is why a tight Thursday is not a tight week.

What's in the pack

Bank Balances sheet

One row per account with ledger, uncleared deposits and holds from the bank, then available and usable computed. Carries a notice period and a restriction note, which is what turns available into usable.

Float and Clearing sheet

Every uncleared deposit with a dated available column and the schedule that date came from. A cheque takes the availability schedule, a card batch takes the processor's contract, and neither gets a guess.

Committed Disbursements sheet

Released and queued payments in one place, each with its rail, its decide-by time, the source of that cutoff, and the date a held item comes back. What belongs in the vendor run at all is decided in the AP process and payment run pack.

Expected Receipts sheet

Incoming items graded Confirmed, Committed or Expected against the bank-side artifact behind each one. Only Confirmed rows enter today, which is the rule that stops a customer's assurance becoming a balance.

Cash Position sheet

The single daily row: usable opening, confirmed inflows, released outflows, projected close, buffer, uncommitted. Locked days keep their actuals so a morning can be checked against what happened. Whether the buffer holds across a whole season, and how large a line it takes, is sized in the seasonal cash plan pack.

Daily Cash Routine

The ten-minute sequence with times on it, ending before the first cutoff. Anything whose decide-by is not today is deliberately not analysed today, which is what keeps ten minutes from becoming forty.

    Take it blank, or seeded

    Load every account, including the boring ones

    The payroll account, the money market reserve, the collateral account behind a letter of credit. An account nobody added is what makes every total in this space quietly incomplete while it continues to foot.

    Date the float, then set the clocks

    Each uncleared deposit gets an available date and the schedule it came from. Each queued payment gets a decide-by, set as the earlier of the rail's cutoff and the hour your approver stops being reachable.

    Send the note before nine

    Six numbers and the decisions due today. A position that lands after the person who acts on it has started their day is a report rather than a decision.

Frequently asked questions

Is this template free?

Yes. The whole pack downloads as Word documents and CSV sheets with no signup and no card. Edit with AI is the optional path for anyone who would rather hand River a morning's balance files than fill nine files by hand. The rest of the template library works the same way.

What format are the downloaded files?

Four Word documents and five CSV sheets in one zip. The documents open in Word, Pages or Google Docs and the sheets open in Excel, Numbers or Sheets. No conversion step, and nothing in the download needs River to read it.

Why does the position disagree with my online banking balance?

Because online banking usually leads with the ledger balance, which counts deposits the bank has taken in and not collected. The position opens on usable balance instead: ledger less float, less holds, less every account that cannot move today. On a heavy collections day those two numbers are furthest apart.

How is this different from a 13-week cash forecast?

Cadence and evidence. This runs on bank-side balances for today and tomorrow, and every figure traces to an artifact the bank produced. The 13-week cash forecast pack places expected receipts on each customer's observed days to pay across a quarter, which is a forecast rather than a position.

What happens on a day the uncommitted balance goes negative?

The note says so, names every queued item and its cutoff, and states what the close becomes under each release. Choosing between the payments that are left is a separate exercise, and the payment prioritization memo does that one against contract and statutory consequences.

Does this replace a bank reconciliation?

No, and the two answer different questions. The position works from bank-side balances, so a ledger that disagrees with the bank shows up here as an unexplained movement and leaves as a finding. Proving cash two-sided is the bank reconciliation pack.

What does Edit with AI actually do?
