Client Commentary
[Client Name] — [Month 20__] Commentary
Prepared by [Firm]. Delivered on business day __. Your engagement letter commits us to __.
The month in one paragraph
Revenue, profit against the trailing three-month average, and the cash movement, with the figures. The paragraph the owner reads on their phone.
__ lines moved. __ of them are new.
How many cleared this client’s threshold, how many carry a cause an earlier package already explained, and how many are new. Then the largest mover on the sheet, and which of the two it is.
1. [Line name], [amount] against a [amount] trailing average
The cause from the underlying detail, and what it changes about a decision they might make. Where the cause is a question, say so and say what you asked.
Cash, and why it moved differently from profit
The two or three bridge lines that carry most of the gap, in prose.
No assurance is provided on these financial statements.
Every monthly reporting template is written for one client in month one. Executive summary, dashboard, statements, action items. That month is the interesting one, and closing the books is a separate job from reporting them. The work here is month four, across a whole book, in the same two weeks, and it is expensive because nothing in months one to three wrote anything down. So this pack keeps a state file per client: every cause the firm already explained, the month that explanation expires, and how many times the cause has recurred.
Quillane Dental Partners, a four-location practice on an 1,860.00 commentary floor, had 14, 11, 12 and 13 lines clear that floor from June to September. The commentary ran 14, 7, 5 and 4, a fall of 71.4 percent, because nine of September's thirteen flags carried an explanation an earlier package had already given. September's largest mover, restorative fee revenue at 9,420.00, is not one of the four, because the second chair behind it was explained in July. The letters that fix the delivery day also decide what the fee covers.
The floor is one percent of that client's own trailing three-month average revenue, so a 63,900.00 swing at a 4,180,000.00-a-month freight client is 1.53 times its threshold while Quillane's 9,420.00 is 5.06 times its own. The register copies each delivery day out of the signed letter, which already has to fix the framework, the disclosure basis and the no-assurance legend. Against a fifteen-day house norm this book is six of six. Against the six letters, four of six. Hitting those days across a whole book in one fortnight is a scheduling problem.
What's in the pack
Engagement Notes
The state file: every cause already explained, its expiry, its Times Seen count, and what next month opens with.
Client Register sheet
One row per client carrying the delivery day, framework and disclosure basis its own engagement letter names.
Client Commentary
The month in one paragraph, then one section per line that survived the notes check, then cash against profit.
P&L Trend sheet
One row per line with its variance, this client's floor, the disposition suppressing it, and whether it gets written about.
Action Items
What you need from the client and what you owe them, split, every repeat request carrying its age.
Cash Summary sheet
Profit to bank movement, one working capital line at a time, closing on a figure that ties to the bank.
Client KPI Sheet
The metrics the letter names, each one sourced, and the ones the client never supplied left visibly blank.
The Commentary Floor
How the Commentary Floor Is Set: one percent of trailing revenue, and the book ranking it inverts.
How to use it
- 1
Open in River, or download it
Take the blank Word and CSV files now, no account asked for, or open the same pack in River and have the agent populate it.
- 2
Send the letters first
In River the agent reads each signed engagement letter and fills the register from it. Working from the files, copy the delivery day and framework across by hand, per client.
- 3
Flag the month, then cut it down
Compute each client's floor from their own trailing revenue, flag the lines that clear it, then suppress the ones the notes already explain. The gap between those two counts is the output.
- 4
Roll the notes forward
After the package goes out, write this month's causes into the notes with an expiry each. Nothing visibly breaks when this is skipped, which is why it gets skipped.
Frequently asked questions
Is this template free?
Yes. Download the whole pack as Word documents and CSV sheets with no signup and no credit card. Edit with AI is a separate, optional path for firms that want the agent to read the letters and fill the register. The template library holds the rest of the packs.
What format are the downloaded files?
Word documents (.docx) for the commentary, action items, engagement notes and the floor guide, and CSV (.csv) for the four sheets, zipped into one file. They open natively in Word, Pages, Google Docs, Excel, Numbers and Sheets, with nothing to convert.
How is this different from a monthly reporting checklist?
A checklist tells you what to put in the package. This decides what to leave out, which is the only thing that scales across a book. The notes suppress a flagged line whose cause an earlier package explained, so the fourth month writes four commentary lines rather than fourteen.
What happens when a one-time item keeps coming back?
Every disposition counts appearances even while the line is suppressed, and the third one cancels the suppression. That matters past the commentary: the IRS says an accounting method is not established for an item unless the item is treated consistently, so four months of calling a recurring cost one-time is a treatment nobody chose.
Does it handle a client on accrual internally and cash for tax?
Yes, as two columns rather than one. The register carries the reporting framework the letter names and the basis the client files on, and a client under the 32,000,000 gross receipts test for 2026 can sit on cash while the package runs on accrual. The commentary says so once, calmly, so March is not a surprise.
What does 'Edit with AI' actually do?
It creates a free River account and installs this exact pack as a private workspace. It opens ready to read whatever you send, whether that is two engagement letters, a GL export, or last month's packages, which is where the first dispositions come from. Nothing is written until you send something.
Who is this template for?
Client accounting and bookkeeping firms sending a recurring monthly package to more than one client. Before an engagement starts, the cleanup diagnostic counts the file rather than estimating it, so the fee the letter names is one the firm can live with once these packages start. It pairs naturally with a client data request and chase pack when slow documents are the real cause.
