Every prepaid expense template you can download works the same way: type the total and a term in months, and a formula spreads the cost evenly from the invoice date. That is wrong whenever coverage does not start on the first of a month, and it is wrong by a different amount on every contract. This pack reads the service start and end date printed on the invoice and amortizes by the day, so the schedule matches the coverage a vendor sold rather than the calendar a formula assumed.
Take Talbrook Freight Lines, an illustrative trucking company whose six open prepaids total 254,100.00. Amortized by the day from each invoice's real service dates, the combined remaining balance at 31 August reads 132,393.81. Amortized by the common shortcut, one twelfth of the total per calendar month elapsed, the same six contracts read 128,600.00, a 3,793.81 gap. Vantage Systems' routing-platform licence is the worst single line: 78,000.00 running from 15 April. The shortcut counts five and a half months against a contract that only started mid-month, landing 2,795.88 away from the day-based balance.
The same pack carries the accrual side of the close, tested before it is booked: has the liability's amount been fixed, and has the other side already performed. On Talbrook's July accruals, five of six reversed cleanly in August; the sixth, an 8,250.00 yard-maintenance accrual, never reversed, so August's invoice for it landed as a fresh expense, an 8,250.00 overstatement the Reversal Log names rather than hides. Why not just divide by 12 months?
Because the shortcut is wrong by a different amount on every contract that does not start on the first of a month. Vantage Systems' licence runs from 15 April, so one twelfth per elapsed calendar month counts five and a half months of coverage that has not happened yet, landing 2,795.88 away from the day-based balance on the same invoice.
What is the difference between a prepaid and an accrual?
A prepaid is cash already paid for a benefit still being consumed, an asset coming down over the service period. An accrual is a cost already incurred but not yet invoiced, a liability going up. A prepaid schedule runs forward from an invoice you already have; an accrual schedule runs on an estimate made before the invoice exists.
What counts as economic performance for an accrual?
Two separate conditions from the regulations governing when a liability is deductible at all. All events fixing the liability's existence and amount must have already happened, and separately, economic performance requires the other side to have actually provided the service. An estimate can fail either one on its own.
What format are the downloaded files?
Word documents (.docx) for the four narrative docs, and CSV (.csv) for the four sheets, zipped into one file. They open natively in Word, Pages, Google Docs, Excel, Numbers and Sheets, with nothing to convert.
