Obligation Calendar

[Firm], [Fund] — Recurring Obligations

Every obligation cites the document or regulation that creates it. No source, no calendar entry.

ObligationSourceTriggerDaysNext Due

A deadline triggered by an event is stated as days from that event, not as a fixed date.

Duntreath Capital Partners inherited its fund operations calendar from a departed COO: 38 recurring line items in a spreadsheet, no source cited for any of them. One entry read "Form ADV annual amendment, March 31." The actual rule requires it 90 days after fiscal year end, and Duntreath's fiscal year ends September 30. The real deadline was December 29. The calendar had the firm believing it had until March 31, 92 days after it was already delinquent.

Both federal deadlines here run from the fiscal year end, not a fixed date, which is exactly the assumption a copied template breaks. Form ADV's amendment rule requires the annual update within 90 days of fiscal year end. Form PF's general instructions require an adviser managing over $150 million in private fund assets to file its annual update within 120 calendar days of the same date. March 31 is a December-year-end assumption, copied forward onto a fund whose year ends in September.

Form PF was not on the old calendar at all. Duntreath crossed the $150 million threshold two years after the calendar was built, and nobody added the filing when it did. Tracing all 38 line items to an actual document or regulation drops 9 with no real source, adds 6 real obligations that were simply missing, and corrects 4 wrong dates, Form ADV among them. The rebuilt calendar carries 35 items, each one citing what created it.

What's in the pack

01

Obligation Calendar

Every recurring obligation with its source document or regulation cited, and trigger-based deadlines calculated from this fund's own dates rather than a copied one

02

Task Register

One row per upcoming occurrence with a named owner and a start date that leaves real time for review before the deadline, not the deadline restated

03

Completion Log

The record of what was actually done and when, which is what a fund audit checks against, not just the current calendar

04

Operations Manual

What each obligation group requires, how trigger-based dates are calculated, and the actual named consequence of missing one, grouped by function

05

Responsibility Matrix

Named owner, reviewer and backup per obligation group, plus the institutional knowledge, an unusual side letter term or a regulator relationship, that a departure would otherwise take with it

How it works

  1. 1

Open in River, or download it

Open the pack in River and let the agent trace your documents into a sourced calendar, or download the blank Word and CSV files instantly.

  2. 2

Send the LPA, side letters and registrations

Plus the current audit timetable and any existing calendar, however informal, and whether the firm has crossed a regulatory threshold recently.

  3. 3

Trace every inherited entry to a real source

Drop what nobody can trace, keep what has a citation, and recalculate any trigger-based deadline from this fund's own dates rather than a copied one.

  4. 4

Assign owners and start logging completions

Build the Task Register with real lead time, and log each completion so the same figures your quarterly LP reporting certifies as current actually are.

Frequently asked questions

Is this template free?

Yes. The Obligation Calendar, Task Register and Completion Log sheets, plus the Operations Manual and Responsibility Matrix documents, download free with no account and no time limit. Edit with AI opens the same pack in River with an agent already primed to trace your fund's actual documents into a sourced calendar.

What does 'Edit with AI' actually do?

It creates a free account, installs this exact pack as a private space, and opens it with River already primed to ask for your LPA, side letters and regulatory registrations. Nothing is shared with other firms, and no obligation is added or removed from the calendar until you confirm its source yourself.

We already have an operations calendar. What happens to it?

It traces every existing line to a real document or regulation before keeping it. In the worked example, 9 of 38 inherited entries had no traceable source and were dropped, while 6 real obligations were found missing entirely. An untraceable entry is not evidence the obligation is real; it is evidence nobody checked.

Why calculate deadlines from a trigger instead of just entering the date?

Because a rule stated as days from an event stays correct if that event's date ever changes, and a rule copied as a fixed calendar date does not. Form ADV's deadline is 90 days after fiscal year end, not a specific date, and a calendar built for a December year-end fund reads wrong the moment it is copied onto a fund whose year ends elsewhere.

Does every fund need to file Form PF?

Only if the firm, together with its related persons, manages at least $150 million in private fund assets as of its last fiscal year end. Firms that cross this threshold after their calendar was first built are the most common case of a real filing obligation missing entirely, since nobody revisits the calendar when assets under management change.

What format are the downloaded files?

Word documents for the Operations Manual and the Responsibility Matrix, and CSV for the Obligation Calendar, Task Register and Completion Log sheets. The documents open in Word, Pages and Google Docs. The sheets open in Excel, Numbers and Sheets with every column, including each citation, intact.

Does this replace our fund administrator?

No. A fund administrator executes capital calls, distributions and NAV calculations; this pack is the calendar of when every recurring obligation is due and who owns it, administration included. Many of the obligations here, a K-1 delivery target or a capital account statement, are exactly what the administrator's own work feeds.

Find out what your calendar is actually missing

Send the LPA, side letters and current calendar, however informal. The first pass traces every line to a real source.
